One of our customers who is a leader in manufacturing of advanced technology solutions including Multi-Tasking, Hybrid Multi-Tasking, 5-axis, milling, turning, CNC controls, Laser Processing machines and automation. They are looking for an Management Assistant. The goal in this position is as efficiently as possible execute administrative and organisational tasks that contribute to the organisation.

Responsibilities:

  • Management assistance, and general office and secretarial tasks (incl. copy machine ink & paper status, office supplies, etc.)
  • Organise and prepare the logistics of meetings, visits, business travel, taxi, hotel, flights, trainings, projects, food arrangements, team buildings, …
  • Take minutes of meetings (for which fluent English is required)
  • Support various administrative tasks within the company (e.g. collect data for auditors, data entry and update tasks, maintain files up to date, holiday planning schedule, archiving, customs info follow up, invoice checking, chasing of outstanding invoices, assist colleagues, …).
  • Assist in specific D365 F&O jobs
  • in sales and/or purchase administration, and data maintenance, incl. updating of manuals or forms.
  • Checking of certain incoming invoices
  • Run and prepare reports upon need, understand content, and raise topics to relevant department leaders and/or management.
  • Export Control representation (includes internal audits, follow up of dual goods shipments, knowledge & trainings, communication, etc.)
  • Contribute to improve overall efficiency

Profil

Required knowledge and skills:

  • Bachelor level.
  • Fluent Dutch and English. French is a bonus.
  • Experience in management assistance and administration context
  • Organisational talent
  • Type writing skills
  • Independent worker who can function well in a team
  • Good computer skills. Minded to digitalization and automation. Good operating knowledge of Excel. Experience in working with an ERP, especially in D365 F&O is an asset.
  • Customer satisfaction minded, attention to detail, improvement attitude, professional communicating skills
